Scanning in SAP
The classical paper documents are still important tools in the dialogue between enterprise and client. In order to create an efficient information flow in the company, modern enterprises file these documents in a digital management system. However these documents have to be digitalized first, since the manual transfer of business relevant data into the SAP-System and other applications are prone to errors, time-consuming and only slightly efficient.
Scanning solutions for the automated (paper-based) document processing offers reliable support for a considerably optimized and accelerated workflow.
Both central and decentralized scanning can be applied.
Central scanning workstations is formally advantageous, because the recording of the incoming documents (e. g. invoices) is a single procedure. Barcode and character recognition supports logical separation of bulk scan results and the documents are assigned to SAP™ Business Objects on a very early stage of the process. Via a working system the scanning results are digitally forwarded to the respective official in charge. This scenario is supported by our products biz²Scanner and biz²ScanServer.
- For the decentralized scanning at the workplace only the biz²Scanner is needed - due to its easy handling and the low investment costs it is an ideal solution. Officials in charge have the possibility of "Scan-on-Demand" and remain in the SAP™ user interface they are used to ("in Place-Integration")
In addition to the organizational approaches a distinction between two types of document filing is made in SAP™:
- In the SAP™ document management (DVS) documents that do not necessarily have reference to the SAP™ processes can be filed. In this case, documents can be versionized and classified; already existing documents and pages can be edited and extended with subsequent information. The management data record is the so-called document information record (DIR), which can be linked to any SAP™ object.
Both filing scenarios are supported by the products biz²Scanner and biz²ScanServer. SAP™ certified filing systems like our biz²Archiver are available for the archiving and management of the created digital images.
