biz²OfficeSynchronizer

The biz²OfficeSynchronizer realizes the bi-directional synchronization of the content between SAP™ data and Microsoft documents as well as efficient mail archiving out of MS Outlook and Lotus Notes. MS Office applications like Word, Excel, PowerPoint and Outlook are the user´s starting point for the document management in SAP™ DVS. Generally documents and forms can be created in Microsoft and data from SAP™ can be used in here ad-hoc. Subsequently the user has the possibility to edit the document in his MS application, to directly revise values of data fields, to synchronize with SAP™ or to archive.

The special feature of this application is that besides the provision of forms, a dynamic insertion of data fields into the document is made possible. A letter for example, which receives a customer number out of SAP™, is automatically linked with the customer data when filed in SAP™. This way further data fields can be transferred from SAP™ into a document. Or if for example the supplier number is entered in a template field of a Word document the address fields are filled directly out of SAP™. And the function "last originals" offers the user the direct access to the files he has last worked on- the SAP™ search becomes redundant.

Microsoft Outlook and Lotus Notes
Microsoft Outlook or Lotus Notes, the biz²OfficeSynchronizer makes it possible to comfortably carry out the efficient mail archiving. In Outlook the mail is allocated to a document information record in msg format. Furthermore the mail is segmented into the attachments and the message text, which can also be used for the full-text search in SAP™. When writing an e-mail documents can be searched out of Outlook directly in SAP™ DVS and can be attached to the e-mail. The double filing of mails in SAP™ DVS can be prevented on request. Files, which don't belong to the world of Microsoft Office, are moved and copied by means of the comfortable module "b2OS-DragN'Drop". For this purpose Microsoft Explorer or entire directories, which are to be filed in SAP™ DVS, are selected.

During all processes SAP™ is the leading system, i.e. the SAP™ business logic, like authorizations, document types, object linkings, classifications, status nets are available to the user in the Microsoft application. Thus the solution integrates DVS function and SAP™ contents into Office documents and enables the user with a comfortable document management in SAP™ DVS. The biz²OfficeSynchronizer is an independent product, but can also be used as an extension of the SAP™ EasyDM. The tool has a multilingual design and at present it can be used in German and English.


biz²OfficeSynchronizer-Drag&Drop
Important for CITRIX customers: The Drag&Drop function of the biz²OfficeSynchronizer contains a "mini explorer", which makes it possible for the user to perform the Drag&Drop procedure within the same application. Thus it is prevented that source and target of the operation are located on two different CITRIX servers.
